What Write Club may do with your materials, how to end permission, and how we review sensitive content.
Your work and the permission you give
You keep ownership of your work. The directory permission lets Write Club display your profile and link readers to your publications and serials. The promotion agreement grants non-exclusive, royalty-free permission to create and publish graphics, banners, posts, thumbnails, and promotional videos for your submitted stories on Write Club’s website, Discord server, YouTube channel, Substack, and other Write Club media channels. It includes the full-text GPT/OpenAI processing described below.
You accept the displayed agreement once when registering or, for an earlier registration, through your signed-in author account. We do not ask for approval for each banner or post within that accepted scope. Joining Discord, reading, commenting, or otherwise participating in the community does not by itself grant this permission.
The permission covers stories and serials you submit for directory listing or promotion, including their publicly accessible serial chapters and later stories you submit under the same terms. A link to your publication homepage does not grant blanket rights to every work in that publication. This permission does not authorize republication of full stories, merchandise, sale of your work, or adaptations beyond the promotional materials described here.
Only submit materials you own or are authorized to provide for these uses. Owning a story does not necessarily give you permission to modify or supply its commissioned or licensed cover art to an AI service. Tell us about any restrictions before that artwork is used.
Ending permission and removing older promotions
You may request removal of your directory listing or withdraw promotional permission at any time by contacting Write Club. Include your author handle and use your verified registration email. We may confirm the request through that address to protect your profile from unauthorized removal. You can withdraw promotional permission while keeping your directory listing.
Permission to create or publish new promotions, repost existing promotions, or start new paid promotion ends when your profile is removed or we receive your verified withdrawal request, whichever comes first. We will stop active promotion campaigns we control as soon as reasonably practicable.
A limited permission to display promotions already published before withdrawal continues unless you request their removal. You may ask us to remove particular materials or all promotions featuring your work on channels we control. Links, screenshots, or identifying details help us find them. We will make reasonable efforts to remove or edit those materials, aim to complete the request within 30 days after verification, and explain any delay or limitation.
We cannot recall emails already delivered, distributed copies, downloads, or third-party restacks, shares, reposts, caches, and archives that we do not control. For a compilation or group recording, we will consider removing or editing your material rather than promising deletion of the entire item. We may keep restricted records of consent, requests, and actions for administration or legal obligations; removing a listing is not the same as deleting all account data. These limits do not override applicable legal rights.
Generative AI, author materials, and training
Write Club uses GPT and generative AI tools to create finished promotional banner artwork and other promotional content. We obtain the full text of submitted stories from their publicly accessible pages or feeds, including Substack’s public feeds, and supply that text or its public URL to GPT/OpenAI. GPT can use the characters, setting, and themes to generate the finished artwork. The source is text the author has already made available for public reading. An AI-created banner does not mean the author used AI to write the story.
Accepting the promotion agreement authorizes this full-text processing and the use of your submitted name, handle, titles, descriptions, brief excerpts, and images you are authorized to provide, solely to promote your submitted stories. These materials may be supplied to OpenAI through ChatGPT or its API, including its image-generation tools. There is no separate approval request for each promotion within this scope. We will seek new permission before materially expanding the purpose or using a different AI provider.
A public feed makes the text retrievable; it does not establish that every AI service has accessed it or used it for training. Our permission comes from your accepted agreement. The directory form records that agreement; it does not itself upload your stories to OpenAI. Banner creation is handled separately by Write Club. We do not offer a hand-made artwork alternative or guarantee a banner for every listing.
We will only process your materials using settings and terms that exclude them from model training or improvement. We must check the actual service and account before uploading and will not proceed if those protections cannot be established. This policy does not claim that every GPT account has the same settings. A no-training setting does not necessarily mean no retention: inputs may be stored to provide the service and may be subject to safety review or legal retention under the applicable OpenAI product terms.
This permission does not authorize Write Club to use or authorize use of your materials to train, fine-tune, or improve AI models. We cannot guarantee what independent third parties may do with material you publish publicly elsewhere. The withdrawal and removal rules above also apply to AI promotions. You may withdraw promotional permission while keeping your directory listing.
The content boundary involving minors
We prohibit sexually explicit, sexualized, or sexually exploitative material involving anyone under 18, whether real or fictional. Content ratings or warnings do not make prohibited material eligible.
Here, sexualized means presenting a minor erotically or for sexual gratification. Age-appropriate, non-explicit romance is not automatically excluded.
A serious, non-graphic, non-erotic depiction or discussion of abuse, assault, trauma, or recovery is not automatically excluded because the person affected is a minor. Moderators consider the presentation and context, including whether it sexualizes or eroticizes the minor or the abuse. No individual work is approved solely by this clarification.
Use accurate audience and content ratings. For a story that seriously addresses abuse or assault, a brief, non-graphic content note can help readers decide whether to continue. Authors remain responsible for fuller context and warnings on their own publication.
Existing registrations
We preserve each author’s original registration wording and record later acceptance separately, with the exact agreement version and date. Earlier registration acknowledgements do not automatically become permission for full-text AI processing. Existing authors can read and accept the current promotion agreement once from Manage profile. Until they do, their earlier grant remains the record of their permission; their listing and ability to edit it are unchanged.
The withdrawal and removal protections apply to all profiles. A new agreement cannot retroactively authorize earlier uploads or silently cancel a withdrawal. If you previously withdrew permission, contact Write Club to explicitly arrange any resumption.
Questions or a removal request?
Use the directory and permissions contact option. Include your @handle, what you want changed, and links to any promotional materials. Use your verified registration email so we can confirm the request.
Requests are handled by an administrator. No listing or material is automatically deleted when you open or submit the contact form. If sending fails, the form will tell you; please retry.
